Virteffic Limited (“Virteffic“) is looking for a self-motivated, highly organised, experienced minute writer to join our innovative business as a Senior Virtual Assistant. As a virtual assistant, you will collaborate with our team remotely to provide high-quality services to a variety of clients. Drafting minutes is our core service so previous experience in a corporate governance or company secretarial role is required.
This role would be perfect for someone who is looking for a good life-work balance as you will be in total control of setting your own hours, provided that the deadlines requested are met. You will generally work a variable number of hours per week, with the majority of the hours being scheduled at your convenience. The ideal candidate is flexible and can work more hours during peak times and when deadlines are close, and is available to attend board and committee meetings when required (face-to-face or by video conference). You will primarily work from your home and will be provided with a laptop. You will be part of a great team that works closely together and has regular team meetings in a non-traditional manner to plan the coming weeks. We promote a healthy lifestyle and often have shared training sessions and outdoor activities to bond as a team.
Experience within a professional administrator role and minute writing skills are essential. The ideal candidate will hold a relevant professional qualification and have at least 4 years’ experience working in a role which included drafting minutes. Discretion and confidentiality are essential.
Location: Jersey or Guernsey (mainly working remotely)
Work Hours/Week: Part-time, variable (at least 15 hours per week required)
Employment Type: Zero-hour contract

The role will be varied and include administrative services and secretarial support to a variety of clients, as and when required. You will be required to draft high-quality minutes for a variety of companies and committees and will be expected to be aware of good corporate governance and regulatory requirements in Jersey and Guernsey with a basic understanding of the requirements in the Cayman Islands and the United Kingdom.
What will you do?
- Drafting minutes from recordings or from meetings attended.
- Proofreading minutes and documents.
- Drafting agendas and notices.
- Attend meetings and take notes (in person or by video conference).
- Helping to prepare for meetings.
- Collating board and meeting packs.
- Manage all related company secretarial matters.
- Involvement in project work, where appropriate.
- Such other duties as may from time to time-to-time reasonably be required.
Skills and Expertise
- Discretion and confidentiality.
- Previous experience in a corporate governance or company secretarial role, preferably in a professional services firm.
- Able to draft high-quality, professional minutes
- Has the relevant skills to organise a meeting well.
- Excellent Microsoft applications and IT skills.
- Excellent written and oral communication skills
- High attention to detail.
- Honesty and reliability.
- Great organisational and time management skills.
- The ability to work on your own initiative.
- The ability to work under pressure, to multi-task, and work towards tight deadlines when needed.
- An excellent standard of written English, with excellent grammar.
The candidate preferably is expected to fulfil the listed requirements, with minimum guidance and proofreading required.
