At Virteffic, we understand that your business is unique, and so are your needs. That’s why we offer a customised solution tailored to your exact requirements. We provide you with fee options tailored to your urgency:
 
  • Discounted Service: Receive your minutes within 1 month at a discounted fee.
  • Standard Service: Receive your minutes within 2 weeks.
  • Express Service: Get your minutes within 1 week.
  • Fast-Track Service: For urgent situations, we can deliver within 1-3 days, depending on the meeting’s length and our current capacity.
 We will always prepare the minutes promptly, professionally and with the utmost confidentiality, and we will never miss an agreed deadline.
 
At Virteffic, we recognise that no two clients are the same. Our process for drafting minutes is designed to be versatile and adaptable to the distinct requirements of each client.
 
To accommodate your preferences and requirements, we offer the following options:
 
  • In-Person Attendance: We can attend meetings in person, by telephone, or via video call.
  • Recorded Meetings: Most of our clients choose to record meetings (a cost-saving option).
  • Ad-Hoc Meetings: We can efficiently prepare minutes for document and transaction approvals using the information in the meeting pack.
 The minutes will be prepared professionally, in the format and style that you prefer, and as formal/informal as you wish. You decide if you want your in-house format and templates to be used, or if you want Virteffic to assist to provide the format.
 
We will always prepare the minutes efficiently, professionally, and promptly, and with the utmost confidentiality.

At Virteffic, security and confidentiality are paramount to our business operations. As part of our robust cybersecurity strategy, we’ve invested significantly in technology and software. Mitigating risk is crucial for keeping our business protected – and yours.

 When it comes to accessing information, there are different options for our client to choose from:
 
  • Email Communication: Most clients share documentation and information via email, ensuring a quick and efficient exchange. Security is our priority. We always password-protect documents returned to clients or link documents to restricted SharePoint sites, ensuring confidentiality.

 

  • Flexible File Sharing: Recordings and supporting documents are shared with us through secure transfers, MS Teams, or external drives collected at agreed-upon intervals.

 

  • Client-Centric Approach: For those who prefer, we operate within their Citrix environment (or similar).
 Your comfort is our priority, and we’re flexible to adapt to your preferred devices and systems.
At Virteffic, we take pride in revolutionising administration services through our dynamic virtual support team. We operate primarily in a remote capacity, effectively collaborating with our clients to provide support akin to that of an in-house employee. However, it’s important to note that our operational model is predominantly remote, and our team members adhere to flexible working hours.
 
We acknowledge that certain circumstances warrant a more hands-on approach. Here’s an overview of exceptions where we seamlessly blend the virtual with the physical:
 
  • Board Meetings In Person: We offer in-person attendance for minute-taking purposes.

 

  • Training Sessions: Our team is ready to conduct training sessions directly at your location.

 

  • Board Effectiveness Reviews: Understanding the nuances of board effectiveness calls for an up-close examination, and we’re equipped to conduct reviews on-site when needed.

 

  • Occasional Administration in Your Office: We extend our services to your office for occasional administrative tasks, for help with scanning, projects and other occasional services.
While we can accommodate occasional in-office work for specific tasks, it is subject to availability and our team’s capacity.

A virtual assistant is a person who provides services from a remote location. Accordingly, the services offered are remarkably diverse, as detailed in the list of services. 

Simply put, a virtual assistant is someone who helps businesses by completing tasks they don’t know how to do, are too busy to do, don’t want to do or that would be better outsourced. 

A virtual assistant can work as an extension to the employees, but works on a more flexible basis. 

The services provided by Virteffic are comprehensive. Virteffic can assist as an extension to your on-site employees. A virtual assistant can perform most tasks that a regular employee can do. The great thing is that the service agreement is drafted so that you only pay for the time and services that you require. Furthermore, you can stop using the services at any time.

Integrating with Virteffic offers cost-effective solutions compared to traditional in-house hiring, providing skilled support without the need for additional overhead.

To begin, it all starts with a free consultation by telephone call, video conference or over a coffee (following close contact guidelines). Virteffic make time to get to know you and the demands of your business. The purpose is to find a solution tailored to your business.
After our consultation, Virteffic will summarise what was discussed and provide a detailed proposal of what services we can offer together with a fee estimate for your consideration. 

Once agreed, we will provide our service agreement (or use yours if preferred). In addition, Virteffic is willing to enter into a Non-Disclosure Agreement, upon request.

Virteffic will proceed to deliver the requested services within the required time frame, and as frequent as you wish. Once you have engaged with Virteffic, you will have access to our diversified talent pool and receive services from the full team, who will manage the workload together as a collaborative team with support from their Virteffic team manager. You can also choose to contract with only one specific team member. 

We will maintain an open line of communication. This works both ways. Not only so that we can keep you, as our client, apprised with how things are progressing, but also so that you can keep us in the loop with how you are feeling about the services provided and delegate more work as and when needed.

Flexibility is the key; Virteffic will adapt to your preference. Some clients provide the information by email. Other clients will provide a storage device, or recording for us to access the data (password protected). Another alternative is to provide access to the systems by Citrix, or to set up a data room. Some clients also provide a business laptop for Virteffic to use whilst servicing them. 

Virteffic has invested in all the technology and software required to ensure we can work securely and efficiently, and we also have IT support from a local provider on hand if required, freeing up our business to concentrate on its core business operations.

Virteffic will work with your business to find the best, secure, and most convenient option that works for you.

We have no fixed working hours. We will discuss the expected time frame and any specific deadlines that you wish for us to adhere to. The best thing about the arrangement is the mutual flexibility. Although we prefer to have appropriate notice, we can provide services on short notice. We do not charge any additional fees for working evenings or weekends.

  • Billing: Invoices raised on or around the 1st of each month for the previous month’s work. A detailed timesheets provided with invoices for transparent fee breakdown.

2. Fixed Fee for Annual Contracts or Meetings:

  • Description: Ideal for annual contracts or specific meetings; guarantees service capacity.
  • Billing: Fixed fee charged in advance; any additional hours invoiced on or around the 1st of each month.

3. Block Package:

  • Description: Perfect for ongoing assistance with day-to-day tasks; purchase a block of hours at a discounted rate.
  • Billing: Payable in advance. A detailed timesheet is provided on or around the 1st of each month shows work carried out and remaining block hours.

4. Project Day Rates:

  • Description: Tailored for extensive projects; cost-effective for engaging our services for a full day or multiple days.
  • Flexibility: Ideal for tasks that don’t neatly fit into hourly or monthly arrangements.

Fee Proposal: Request a fee proposal

As a virtual assistant is not an employee, there are no additional fees which would be payable if you hired an administrator or secretarial officer.

If you are reluctant or find it difficult to delegate your work – start with small steps. Some clients may just delegate a small “test” task for say 2 hours and wait to see the result before delegating further tasks. The great thing is that the service agreement is drafted so that you only pay for the time and services that you require and you can stop at any time.

It takes time to build up trust, and with time, you will find it easier to delegate. Eventually, you will start seeing the results, and experience reduced pressure. Once you start to delegate, you will start noticing more and more delegation opportunities as new projects come up.
