Virtual Assistant Role

Virteffic is a dynamic team of virtual assistants, chartered secretaries, and governance professionals offering a wide range of administrative, secretarial, and minute-taking services to clients in Jersey, Guernsey, the UK, and the Cayman Islands. Your Role

As a Virtual Assistant at Virteffic, you will be responsible for supporting both internal administrative tasks and client services. This role offers an excellent opportunity to develop skills in bookkeeping, marketing, and corporate governance while working in a dynamic, flexible, and remote environment. Key responsibilities include:

  • Inbox Management: Monitor and manage both internal and client email inboxes, ensuring timely responses and proper prioritisation of tasks.
  • Administrative Support: Provide administrative support, including document formatting, scheduling, database management, membership administration, event organisation, and meeting coordination.
  • Bookkeeping & Accounts: Assist with invoicing and bookkeeping tasks using Quickbooks and Xero, ensuring accurate transaction processing and responding to client queries.
  • File & Document Organisation: Manage and organise internal files and client records, ensuring secure and efficient document storage and retrieval.
  • Marketing Support: Assist with content scheduling, social media updates, and managing general marketing platforms.
  • Client Engagement: Foster strong communication and relationships with clients to ensure their needs are met and expectations exceeded.
  • Ad-hoc Support: Provide additional support as required to ensure the smooth running of internal and client-facing operations.

This role will also provide the opportunity to gain experience in other aspects of administration and governance, supporting both internal tasks and client operations.

Technical Skills:

  • Proficiency in administrative tools like Microsoft Office Suite.
  • Familiarity with Quickbooks and Xero, or a willingness to learn.
  • Comfort with social media platforms and basic marketing tools.

  • Strong communication skills, both verbal and written.
  • Excellent organisational skills and attention to detail.
  • A proactive, problem-solving mindset with a can-do attitude.

How does working for Virteffic compare to working in a more traditional environment?

What I enjoy most is the freedom and flexibility – which everyone at Virteffic can benefit from. I love to travel and always struggled with the “normal” holiday allowance when I was employed in a more traditional role.Now I can work more during the busier period and then take time off more often. 

We ask everyone keep us informed of their holiday plans, but there is no need to submit a formal request. I also enjoy that I can play padel or schedule hair appointments and other personal appointments during weekdays, and I no longer need to compete for those valuable Saturday slots. 

Being a Mum of two young boys whilst still maintaining a career has resulted in me spending the last 10 years rushing around and never having enough hours in the day. Any parent knows that children are so very rewarding, but they are also the most demanding 24/7 job most of us ever have! Trying to work that into a traditional office role where I am required to be in the office around a set structured day was unsustainable and exhausting. Having the opportunity to build a role to fit around my lifestyle and responsibilities has been pivotal in allowing me to find a much more attainable work/life balance.

Working at Virteffic has allowed me the flexibility that I have never had in another role. I am provided deadlines to complete my work and when I do this is up to me, it has created a work/life balance that you wouldn’t find anywhere else.

Due to the internal and external work available, every day is different which allows me to work on a variety of tasks and the opportunity to gain more experience and knowledge, which I enjoy. I feel valued as a team member and trusted with the tasks that I am provided.
