As a senior virtual assistant, you will work remotely, collaborating with our team to provide top-tier services to a variety of clients.

Your Role
As an Experienced Minute Writer at Virteffic, you will:
- Draft Detailed Minutes: Accurately document board meetings, committee meetings, and other corporate governance activities, whether from recordings or direct attendance.
- Collaborate with Clients: Work closely with directors, company secretaries, and other stakeholders to ensure documents are precise and meet their needs.
- Maintain Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
- Contribute to Best Practices: Assist in refining processes and setting industry benchmarks for corporate governance and minute writing.
About You
- Experience and Skills: You have advanced minute writing skills with experience in company secretarial and/or corporate governance roles. A strong understanding of company law, governance requirements, and best practices in regulated environments is essential. Experience with board effectiveness, corporate governance frameworks, and policies is advantageous.
- Attention to Detail: Your written communication is clear, concise, and grammatically impeccable.
- Organisation: You can manage multiple tasks and deadlines efficiently without compromising quality.
- Proactive and Professional: You take initiative, work independently, and consistently maintain a high standard of work.
- Professional Qualifications: Ideally, you hold a relevant professional qualification (preferably ICSA/CGI) with at least four years of experience in a role involving minute drafting.
Key Responsibilities
- Provide administrative services and secretarial support to various clients.
- Draft high-quality minutes for companies and committees.
- Proofread minutes and documents to ensure accuracy and professionalism.
- Draft agendas and notices.
- Attend meetings (in person or via video conference) and take detailed notes.
- Assist in meeting preparations, including collating board and meeting packs.
- Support clients in managing governance arrangements for Jersey/Guernsey boards and related committees.
- Ensure adherence to governance frameworks, policies, and procedures.
- Participate in project work as appropriate.
- Perform other duties as reasonably required.

- Reliability, honesty, and the ability to manage time effectively.
- Independence, with the ability to work under pressure, multitask, and meet tight deadlines.
- An excellent standard of written English, with impeccable grammar.

How does working for Virteffic compare to working in a more traditional environment?
What I enjoy most is the freedom and flexibility – which everyone at Virteffic can benefit from. I love to travel and always struggled with the “normal” holiday allowance when I was employed in a more traditional role.Now I can work more during the busier period and then take time off more often.
We ask everyone keep us informed of their holiday plans, but there is no need to submit a formal request. I also enjoy that I can play padel or schedule hair appointments and other personal appointments during weekdays, and I no longer need to compete for those valuable Saturday slots.
Being a Mum of two young boys whilst still maintaining a career has resulted in me spending the last 10 years rushing around and never having enough hours in the day. Any parent knows that children are so very rewarding, but they are also the most demanding 24/7 job most of us ever have! Trying to work that into a traditional office role where I am required to be in the office around a set structured day was unsustainable and exhausting. Having the opportunity to build a role to fit around my lifestyle and responsibilities has been pivotal in allowing me to find a much more attainable work/life balance.
Working at Virteffic has allowed me the flexibility that I have never had in another role. I am provided deadlines to complete my work and when I do this is up to me, it has created a work/life balance that you wouldn’t find anywhere else.
Due to the internal and external work available, every day is different which allows me to work on a variety of tasks and the opportunity to gain more experience and knowledge, which I enjoy. I feel valued as a team member and trusted with the tasks that I am provided.
