About Virteffic - a virtual support team

Virteffic Limited is a virtual assistant company based in Jersey, that provides secretarial support, and administration services to support our clients. We assist a mixture of local clients, including individuals, SMEs, start-ups and larger regulated firms. Once you have engaged with Virteffic, you will have access to our diversified talent pool and receive services from our team, who will manage the workload together as a collaborative team with support from the Virteffic team manager. You can also choose to contract for one specific team member. All our team members are reliable, diligent, and have excellent communication skills.

The workplace is changing. The ‘traditional’ 9 to 5 jobs are still there, however many are looking for flexible solutions and ways to lower cost. Hiring an additional staff member can be too costly, especially for a start-up. For instance, the salary, training cost, infrastructure, tax, social security, and benefits may add up to huge expenses. In addition, fear and uncertainty from the latest global challenge spell trouble for a lot of businesses and institutions across all sectors. In light of this, this may not be the time to hire a full-time employee. However, the work is still there and needs to be done. A virtual assistant can perform most tasks that a regular employee can do. Simply put, a Virtual Assistant is someone who helps businesses by doing tasks they don’t know how to do, are too busy to do, don’t want to do or that would be better outsourced.

The Story about Virteffic

I moved from Sweden to Jersey in 2006 to capitalise on my economics and business administration degrees and to get some working experience to compliment my academic background. What was meant to be temporary turned out to be permanent.  Consequently, more than fifteen years later, Jersey is my home. I have always enjoyed working in the finance industry. Particularly, I have liked the diversified tasks and the element of problem solving.

We have all seen significant changes over the last few months as we have adapted our work and home lives due to the Covid-19 pandemic. Personally, whilst being ill with Covid-19 for several weeks, I had time to do a lot of thinking. I had a really good job where I worked hard and had created a very strong career path for myself. However, I have always had a vision and goal of one day setting up my own business.

I decided to take a leap and it was the best thing I have ever done.  Virteffic let me use my background and skills to realise my dream. Meanwhile, it is allowing flexible working hours and a better work – life balance. Ultimately, I am driven by a desire to be excellent and thrive working in an inspiring place promoting positive change and development.

After an amazing year of working as the sole virtual assistant for Virteffic, it was an exciting opportunity to expand and take on a wider team to support our clients.

 

The name Virteffic
comes from Virtual and Efficient.

Efficiency

Your time is important. We want to be productive and deliver value for your money.  Our focus is on helping clients tackle their to-do list. Ultimately, that leaves clients with more time to do what they love. We are proactive and forward-thinking. In particular, where long-term services are being provided, we will get to know your business and stay one step ahead at all times. Conclusively, this will free up your time further.

Confidentiality

Confidentiality and security are vital for our business. Our service agreements and employee agreements contain strict confidentiality clauses. Virteffic has invested in all the technology and software required to ensure we can work securely and efficiently, and we also have IT support from a local provider on hand if required. We have numerous communication options available and our clients will choose a communication style that works best for them. We adhere to strict confidentiality at all times in this role and act with honesty, transparency and respect.

Communication 

Communication is important. Our standard practice is to clearly and consistently communicate with our clients in relation to expectations around tasks, deadlines and capacity.  We use regular reminders and an internal project management software system so that our virtual team can be just as effective as if they were working together in an office. Senior support is available for the virtual team to provide guidance and assistance when needed, before reaching out to the clients should any further information be required.

Flexibility 

One of the main benefits of using a virtual assistant is the flexibility. The client can contract for just the services needed. There are options for short term or long term, one-off assistance or regular support. In addition, work outside the standard office hours is not an issue. Our organisation skills enable us to manage the workload effectively, and we can prioritise tasks based on importance. Strict timescales and short deadlines are not a problem.

Knowledge 

Finally, professionalism is very important. A larger team means more resources available, with diversified skills and expertise. All our team members are experienced and skills, an can work independently. We recognise that remote work is not right for everyone. When building our team, we make sure we choose people who are flexible, highly organised workers.
