Getting Started

We’re proud to offer a streamlined onboarding process. In many cases, we can start almost immediately. Once the scope of work is agreed and a service agreement is signed, we assign a professional from our trusted team—based on availability and your specific requirements. Because we maintain internal flexibility, we can usually adapt to urgent timelines or last-minute needs, including short-notice meetings and project deadlines.

We begin with a free consultation. This can be via email, phone, video call, or in person (coffee optional but encouraged!). During this conversation, we discuss your business needs, timelines, preferred ways of working, and any existing templates or systems you use. Based on this, we’ll prepare a tailored fee proposal and scope of work. Once everything is agreed, we’ll send over a service agreement—and can get started as soon as you’re ready.

Yes! Many of our clients start with a small task or trial engagement to test the waters—such as preparing minutes for a single meeting, or providing temporary admin support. We have no minimum commitment, so you only pay for the time and services you use. If you’re happy (and we’re confident you will be), you can scale the service up from there.

A virtual assistant (VA) is a remote-based professional who supports you with administrative, governance, or organisational tasks. At Virteffic, our VAs are experienced professionals, often with governance, legal, or regulated financial industry backgrounds. They function as an extension of your in-house team, without the costs and overheads of full-time employment. From inbox management to document formatting, we help you stay on top of things—efficiently and confidentially.

Our team is based in the Channel Islands, but we support clients across the UK, Cayman Islands, and other jurisdictions. Many of our services, including training and virtual governance support, are fully remote and easily adaptable to local requirements.

Minute-taking & meetings

Our standard delivery options are designed to match your urgency:

  • Standard – within 10 business days of the meeting

  • Express – within 5 business days

  • Fast-track – within 1–3 days, subject to meeting length and our availability

Minutes are drafted by experienced professionals, with attention to clarity, tone, and compliance. We can use your existing templates or provide our own house style. Our process also includes internal checks to ensure quality, confidentiality, and accuracy before delivery.

We’re completely flexible to suit your working style:

  • In-person attendance in Jersey or Guernsey

  • Virtual attendance via Microsoft Teams, Zoom, or phone

  • From a recording, shared securely via SharePoint or another secure method

We adapt to your preferences—whether you need us to actively minute the discussion live, support as a back-up, or simply transcribe from a recording.

Yes, we can work with your templates, style guides, or tone preferences. If you don’t have one, we can provide a tailored house style or help you create a custom format that reflects your governance standards.

Secondments & project support

Yes, our secondment services are perfect for this. We regularly step in to support clients during maternity leave, long-term absences, team transitions, audits, regulatory deadlines, or high-volume project periods. You can engage us on a part-time, full-time, or ad hoc basis, depending on your needs.

Absolutely. Our secondees are highly adaptable and used to integrating into a variety of workflows and platforms. They can:

No. There are no hidden charges. You won’t pay for:
