What is a Virtual Assistant?
To explain the concept, a Virtual Assistant is a person who provides services to other businesses from a remote location. Accordingly, the services offered are remarkably diverse, as detailed HERE.
It can be tough to run a small business by yourself, or even with a number of employees. You might often feel as though you could do with some help. Hiring additional staff, like a permanent administrator or secretarial officer can be too costly, especially for a start-up. Even if your firm or business may have been around for a while, most have suffered from the challenges brought in this year. In light of this, it may not be the time to hire a full-time employee. However, the work is still there and needs to be done.
A dedicated virtual assistant can assist to handle tasks without the cost and hassle of hiring a permanent administrator, secretarial officer, or executive assistant. A virtual assistant is a smarter and more cost-effective alternative as you only pay for the time that you need. Virteffic can assist on a one-off basis for a couple of hours, or provide regular support. There is no need to supply a desk or any office space. Moreover, there are no benefits to pay, no training costs, social security, pension cost, or utility bills.
Minutes and Meetings
Firstly, the preparation for the meeting is a key element to aid engagement and to ensure that the meeting is productive. The notice, agenda, and meeting pack should be informative. This will allow the attendees to prepare their contribution and participate in the discussions. The minutes should be drafted and circulated after the meeting.
Minutes are records of a meeting held, detailing the proceedings and outcome from that meeting. The minutes confirm any decisions made and any agreed actions to be taken. They set out who has been allocated any tasks or responsibilities, and they provide details of the meeting to anyone unable to attend. The company has a statutory requirement to maintain these records. Sometimes the company will circulate written resolutions in lieu of holding a meeting, for agreeing directors’ and shareholders’ resolutions.
The company secretary is usually in charge of drafting the minutes. However, sometimes the company secretary also serves on the board and it can then be difficult to take the minutes of a meeting that they are also participating in. In addition, the company secretary may be overwhelmed with other tasks, and need a helping hand. The meeting may include confidential matters that you do not want a member of staff to hear, and you may therefore need an independent minute taker to maintain absolute confidentiality.
