Virteffic Limited (“Virteffic“) is looking for a self-motivated, highly organised, experienced minute writer to join our innovative business as a Senior Virtual Assistant to support our team. As a virtual assistant, you will collaborate with our team remotely to provide high-quality services to a variety of clients. Drafting minutes is our core service, so previous experience in a corporate governance or company secretarial role is required.
Advanced minute writing skills and experience from a company secretarial and/or corporate governance role are required. You must also have knowledge of company law and governance requirements and expectations and best practices in a regulated environment. It is an extra plus if you have experience relating to board effectiveness, corporate governance framework and/or policies and procedures.
Experience within a professional administrator role and minute writing skills are essential. The ideal candidate will hold a relevant professional qualification (preferably ICSA/CGI) and have at least 4 years of experience working in a role which included drafting minutes. Discretion and confidentiality are essential.
Location: Jersey o Guernsey (mainly working remotely)
Work Hours/Week: Part-time, variable (ideally 20-25 hours per week during school holidays, and 20-100 hours per month for the rest of the year)
Employment Type: Zero-hour contract

Key Responsibilities
The role will be varied and include administrative services and secretarial support to a variety of clients, as and when required. You will be required to draft high-quality minutes for a variety of companies and committees and will be expected to be aware of good corporate governance and regulatory requirements in Jersey and Guernsey with a basic understanding of the requirements in the Cayman Islands and the United Kingdom.
What will you do?
- Drafting minutes from recordings or from meetings attended.
- Proofreading minutes and documents.
- Drafting agendas and notices.
- Attend meetings and take notes (in person or by video conference).
- Helping to prepare for meetings.
- Collating board and meeting packs.
- Assist our clients in managing the day-to-day governance arrangements of the Jersey/Guernsey boards (regulated and unregulated) and all related committee.
- Support our clients and their Jersey/Guernsey boards and committees to function effectively and in accordance with their terms of reference, constitutional documents and best practice.
- Ensure that the governance framework and any supporting policies and procedures of our clients are followed.
- Involvement in project work, where appropriate.
- Such other duties as may from time to time-to-time reasonably be required.

- The ability to work on your own initiative.
- The ability to work under pressure, to multi-task, and work towards tight deadlines when needed.
- An excellent standard of written English, with excellent grammar.
The candidate preferably is expected to fulfil the listed requirements, with minimum guidance and proofreading required.

What I enjoy most is the freedom and flexibility – which everyone at Virteffic can benefit from. I love to travel and always struggled with the “normal” holiday allowance when I was employed in a more traditional role.Now I can work more during the busier period and then take time off more often.
We ask everyone keep us informed of their holiday plans, but there is no need to submit a formal request. I also enjoy that I can play padel or schedule hair appointments and other personal appointments during weekdays, and I no longer need to compete for those valuable Saturday slots.
Working at Virteffic has allowed me the flexibility that I have never had in another role. I am provided deadlines to complete my work and when I do this is up to me, it has created a work/life balance that you wouldn’t find anywhere else.
Due to the internal and external work available, every day is different which allows me to work on a variety of tasks and the opportunity to gain more experience and knowledge, which I enjoy. I feel valued as a team member and trusted with the tasks that I am provided.

As a mother to two young children, I love the flexibility that Virteffic gives me to fit my work around them, whether its helping on a school trip or if one of them is ill.
